Project Background and Objectives
Soldiers Magazine had an extensive paper archive of magazine articles and photographs, which needed to be accessed regularly for reference. The access process was cumbersome, and relied heavily on a few key employees who were able to navigate the filing system. In addition, the paper archives were subject to deterioration and loss.
The Editor and Chief of Soldiers Magazine needed to find a way to preserve the archives as digital files and to make the digital archives readily accessible to all who might need them, both inside Soldiers Magazine at Ft. Belvoir, as well as outside, at other military installations, such as the Pentagon. Digital files needed to be accessible from Mac computers, used at Soldiers Magazine, and Windows or Unix operating systems, used at other facilities.
Contract Work, Scope, and Deliverables
IDEAL provided back file conversion services to preserve the paper archives as indexed digital files, and began implementation of a browser-based IntraNETIX document management system at Soldiers Magazine. The IntraNETIX system provides easy access to a searchable database of Soldiers Magazine articles and photographs. All authorized users are able to access the documents and photographics by entering specific search criteria via their web browser. Documents are available anytime, anywhere. As the back file conversion was being done, and while the IntraNETIX document management system was being customized and installed, the digital files were uploaded to IDEAL's secure IntraNETIX Conferencing Services, in order to make the files immediately available to all who needed to have access to them.
