Graphic Imaging Services Uses ScanDEX Pro and Cuts Data Entry by One Third |
When Graphic Imaging Services, Inc, a small scanning and conversion
service bureau located in Las Vegas, Nevada, won a contract to scan
more than 30,000 large format drawings for Hoover Dam, Lisa Desautels,
president, knew she needed to maximize the production capability of
her small staff.
Some of the drawings in the project were old and not in the best
condition. They were on various media. Fifteen percent of the
drawings were over 36" wide. Thirty percent of the drawings needed
to be inverted. Three percent of the drawings were in color. All
of the drawings contained 15-field title blocks, so in addition to
scanning the drawings, the data from the title blocks needed to be
entered into a database for indexing. This meant an enormous amount
of time-consuming data entry.
Lisa assigned two of her staff to scan the drawings, two to index
the title blocks, one to prepare the documents and one to administer
the project. In short order, the scanning team was creating quick
and accurate scans with an IDEAL / Contex 54" Magnum XL color scanner.
This scanner enabled scanning without a break in productivity, despite
the disparity of media and sizes of drawings.
The bottleneck occurred with the indexing team. They were unable to
enter the data as quickly as the drawings were being scanned, and
Graphic Imaging Services was in danger of falling behind on delivery dates.
Fortunately, about this time Lisa attended an IDEAL Dealer Conference,
where she was introduced to a new product called ScanDEX Pro. ScanDEX
Pro cuts data entry time by enabling users to scan, index and archive
all in one process.
ScanDEX Pro offered an immediate solution to aid the indexing team.

With no prior training, and in less than one hour, Lisa was able to
install and set up ScanDEX for her indexing team to use. Because five
of the fields in the title blocks were standard across all the drawings,
the team was immediately able to automate entry of those five fields
into the database. This cut the data entry time by one-third, and
When asked what she thinks of ScanDEX, Lisa says, "It paid for itself
in the first week of indexing. It not only saved us time, but it also
helped us maintain great customer relations by enabling us to deliver
product ahead of schedule."
Lisa is looking forward to even greater efficiencies once she and her
team become more proficient with the advanced features of ScanDEX.
