The archive station contains the scanner- and printer archives. When entering the archive station, you start in the scanner archive where the screen is divided in two views: a record list view and an image view. The record list header displays the field names and for each record in the list, the value of the field is shown.
When you click on a record IDEALScanOS displays the related image in the image window with the settings from View Options. If the selected record has an attached multi-page file, the image window is divided into two parts by a moveable splitbar, where the upper part displays all pages as thumbnail pictures and the lower part displays the selected page (image). You can use the image functions and/or an external tool to work with your image. If you change the image, IDEALScanOS will ask you if you want to save the image or not before you proceed. If you click on the menu item Image è Properties you’ll get various information about the image file such as file name, size, format, etc. You can supply your scanner archive with raster files from disk by clicking on Archive è Import…
Click on the menu item Archive è View Printed Records or press F7 to go to the printer archive. The whole screen then consists of one record list view.
Archive Station Layout
You can change the layout of the screens in the Archive Station. In the Main Station choose the menu PreferencesèViewingèArchive Station Layout to switch from a vertical layout to a horizontal layout.
Record List View
The following functions are valid for both the scanner archive record list view and the printer archive record list view.
Selection
You select a record for viewing by left clicking on the record in the list view. If you want to select more than one record you can use the Shift- and Ctrl keys. If you want to select all records click on the menu item Archive è Select All.
Navigation
You navigate in the record list view by using the mouse, the arrows or if there is more than 100 records by using the Next/Previous List Pages buttons:

or the menu items Archive è Next List Page/Previous List Page.
Sorting
You can sort the record list by clicking in the form header you want to sort by. Repeated clicks will switch between ascending or descending sort order.
Batch Operations
Having selected one or more records click on Archive è Batch Operations and select one of the actions described below:
Delete…
When you click on Delete… or click on the toolbar button
a dialog box appears in which you define whether to delete only the selected record(s) or only the related image file(s) or both. In the example below both the record(s) AND the image file(s) will be deleted:
Confirm Delete
If you select records in the printer archive and click on Delete… or click on
you'll get a prompt asking whether you want to delete or not.
Copy to Clipboard
When you click on Copy to Clipboard or use the key combination Ctrl+Ins the selected printer- or scanner record(s) with the record list view headers are copied to the clipboard. You can now paste the records into another Windows application like MS Word or MS Excel.
Send…
To send the selected image files(s) via email click on Send… or the button
or use the key combination Ctrl+S. Your mail program is then started and your mail new message box appears with your selected image files as attachments. Write your message and click on the Send button.
Convert File(s)…
When you click on Convert File(s) a dialog box appears in which you can select a new file format for the selected file(s).
Rename File…
When you click on Rename File a dialog box appears in which you can select a new file name for the selected file.
Reindex Record(s)…
When you click on Reindex Record(s) a dialog box appears in which you can enter or select a new scan ID for the selected record(s). Note that if you have selected more than one record, the records will all get the same Scan ID.
Combine…
Click on Combine or click on the toolbar button
to combine the selected records and the related image files into a multi-page file. IDEALScanOS prompts you for a file name, a scan ID and for deletion of the old records or not.
Break Up…
Click on Break Up or on the button
to split a multi-page file into records and files. IDEALScanOS asks you if you want to delete the old multi-page file or not.
Filter
You use a filter to search and retrieve records from the scanner- or printer archive. Click on the menu item Archive è Filter or click on the filter button
. Enter a condition you want to search by, e.g. show all records scanned by the User Administrator. Click on Apply and the record list view displays the result of the search, e.g. only records scanned by Administrator. If you want to narrow your search further, you can add more than one condition using the Add button. (The conditions are linked with an implicit "and"). If you for example want to retrieve records scanned by Administrator AND scanned before a certain date, you add the search conditions and click on Apply. In the conditions you can use wildcards.
Create DSG Files
All files selected will be crated as dsg files located the same place as the original raster files but with the extension dsg.
